5 Dynamics 365 hacks and tricks that will improve your productivity and blow your mind

In this blog post, we’ll outline five Dynamics 365 hacks and tricks that will have more than just half of your teams working efficiently.

1. Personalise default dashboards

First and foremost is personalisation. Chances are, you and your team use different dashboards on a day-to-day basis to track progress. But constantly looking at data you don’t need can be a nuisance.

Dynamics 365 lets you personalise any of the 46 preset workspaces available. To do this, right click on any workspace, click the personalise icon and use the personalisation bar to edit your workspaces. With this feature, you can:

  • Pin a tile to the default dashboard
  • Hide workspaces
  • Add and remove lists and charts from a dashboard
  • Use security roles to make certain dashboards accessible to individual employees 

The best part is, every employee can set their dashboard up to suit their own preferences across desktop, mobile and tablet.

2. Customise business process forms

Dynamics 365 also lets you customise your process forms. The process bar, displayed at the top of a form, shows where a customer is in their lifecycle, and it lets you know what information, if any, you still need to gather to move people along the funnel.

But businesses work in unique ways and, as a result, processes will be performed differently. Fortunately, Dynamics 365 lets you drag and drop different stages and steps of a process form. This way, you can setup specific forms for a variety of different prospects, saving your sales team both time and energy when it comes to qualifying.

3. Add business apps

Dynamics 365 has a whole host of apps for specific business processes, like:

  • Sales
  • Customer service
  • Field service
  • Project service automation
  • Operations
  • Financials 

But these can seem a little too generic. Sometimes, you need an app that’s more specialised to what you’re after. Chances are, someone has already created an app that does what you want it to.

Dynamics 365 lets you install third party apps, and if you can’t find what you’re looking for, it lets you create custom ones, too. Sure, it might sound like legwork at the beginning, but once your app is up and running, you can let automation do the heavy lifting instead.

4. Quick access to actions (and keyboard shortcuts!)

Improving productivity is about speeding up the in-between tasks we perform on a daily basis. When it comes to choosing an action in Dynamics 365, you can use the keyboard shortcut ‘Alt Q’ to bring up the search bar. From here, you can quickly type in what you’re looking for and select it from the list.

There are many more shortcuts for specific processes, like using forms and editable grids. Here’s an essential list to learn to speed up how you navigate through Dynamics 365, so you can get more done.

5. Deploy SmartBar

It can be tough to find what you’re looking for in Dynamics 365, especially if it’s not right in front of you. The SmartBar add-on, however, lets you custom-build an intelligent navigation that works between records. You can:

  • Add custom buttons
  • Delete, add and rearrange the order of your navigation
  • Colour code your buttons
  • Open entities and SiteMap entries
  • Configure your navigation for different views

Instead of trawling through the generic Dynamics 365 navigation to find what you need, build your own so it’s available to you across multiple workloads.
